The Administrative series encompasses the planning and operations functions of the organization. Includes correspondence, legal documents, newsletters, newspaper clippings, mailing lists, membership information, meeting minutes, rolodex cards, and tribal leader lists. Some documents address the history of the Indian Council Fire. Legal documents and correspondence pertain to the order of dissolution of the Indian Council Fire organization in the 1970s. Other correspondence concerns the merging of the Indian Council Fire organization with the Indian Achievement Award Dinner. There is a folder (36a) in box 3 that contains material related to Susan and Marvin Lee Tahmahkera. Marvin Lee Tahmahkera was the great grandson of Quanah Parker (Numinu), one of the first important leaders of the of the Native American Church movement. Material in this folder is a combination of original and photocopies due to mold exposure.

Meeting minutes range from 1953 to 1985, lacking some years, along with incoming and outgoing correspondence (originally stored in manila mailing envelopes). Incoming and outgoing correspondence includes letters from Vine Victor Deloria Jr. addressed to various ICF members.

Also contained within this series are material created and collected by the Indian Council Fire staff such as other Native American organizations historical files, with original material and copies; office files for Indian Council Fire administration. Office files were originally kept in 3-ring binders, and early (substantially redundant) copies were deaccessioned. Office files are in order by year and also contain information on the ICF organization, meeting notes, and member lists.
